The Children’s Cancer CoLab, formerly known as the Victorian Paediatric Cancer Consortium, (ABN 68 670 681 713) (we, us or our) is a charity dedicated to uniting brilliant minds to revolutionise childhood cancer care through groundbreaking research, innovation and advocacy.
We recognise the importance of your privacy. This Privacy Policy explains how we intend to collect, store, use, disclose, protect and otherwise handle your personal information having regard to the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (Privacy Act).
This Privacy Policy does not constitute a contractual representation, promise, guarantee or warranty by us to you as to the manner in which we will or may collect, store, use, disclose, protect or otherwise handle your personal information.

What is personal information?
Personal information is defined as information or an opinion about you from which you can be reasonably identified.
What personal information do we collect?
The types of personal information collected by us may include:

- contact details (including address, email address, telephone number(s), social media and other contact details);
- date of birth;
- banking details;
- academic and research-related information;
- accreditations and degrees;
- information you provide when you apply to be a member with us or wish to volunteer with us or participate in our events;
- your username and password for accessing our online information;
- personal testimonials and stories; and
- other information you provide to us.
Sensitive Information
The personal information collected by us may include sensitive information. Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual's racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.
The sensitive information that we may collect includes details about your physical, mental or psychological health, including previous health conditions.
Sensitive information will be used by us only:
- for the primary purpose for which it was obtained;
- for a secondary purpose that is directly related to the primary purpose;
- with your consent; or
- where required or authorised by law.

We collect personal information in a number of ways, including when you:
- make solicited or unsolicited requests to us for impact programme funding;
- attend or take part in our events;
- apply for a job or to volunteer with us;
- consent to tell your own personal story for publication on our channels. We will always seek your written permission before publishing your story;
- make solicited or unsolicited donations or gifts to us;
- contact or are contacted by us or our service providers by telephone, email or our website, social media and other digital services;
- subscribe to our eNews on our website;
- complete feedback, survey or promotional forms online or using a hardcopy form and provide it to us; and

Personal information collected when you visit our website
When you use our website, we may collect information based on how you use and interact with that site, including through ‘cookies’, web beacons and other similar technologies.
Cookies are small text files that are transferred to your computer's hard drive through your web browser to enable our systems to recognise your browser and record non-personal information such as the date, time or duration of your visit and the pages accessed, for website administration, statistical and maintenance purposes (Cookie Information).

Circumstances where it is not practicable, however, include where personal information is required to complete a credit card transaction, sign up for an account on our website or to contact you about our services
Why do we collect personal information?
We collect personal information for the primary purpose of providing our services in connection with our operations and activities, including, without limitation:
- funding;
- grants;
- gifts;
- donations;
- marketing and communications activities;
- conducting surveys and feedback processes; and
- other activities as engaged in by us from time to time.
We may also use your personal information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure.
We also collect your personal information to send direct marketing communications to you, such as when you subscribe to our newsletters on our website. You may unsubscribe from our mailing/marketing lists at any time by clicking the opt out link within an email or by emailing us. Unless and until you opt out, you consent to receive direct marketing communications from us, and to the use of your personal information for this purpose.
If we do not collect your personal information, we may not be able to provide our services to you.
Third Parties
Where reasonable and practicable to do so, we will collect your personal information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party, and will hold, use and disclose that information in accordance with this Privacy Policy.
Disclosure of personal information
We do not sell, rent or trade personal information to, or with third parties. We collect, hold, use and may disclose your personal information so that we can provide our services. This includes disclosing personal information to third parties to:
• to enable our services providers to provide services to us, that enable us to provide our services to you, such as CRM platforms, survey platforms, fundraising and analytics platforms];
• consider any concern or complaint that you raise against us or to manage any legal action between you and us;
• prevent or investigate any actual or suspected fraud, unlawful activity or misconduct; and
• comply with any relevant laws, regulations, codes of practice and court orders.
Our website may contain certain links to other websites. We do not share your personal information with those websites and it is not responsible for the privacy practices applying in respect of those websites.
We will not disclose your personal information to third parties who are overseas.
Security of personal information
Your personal information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure.
When your personal information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your personal information. However, most of the personal information is or will be stored in client files which will be kept by us where there is an ongoing need or legal basis for collection.
How to access or correct your personal information
You may access the personal information we hold about you and to update and/or correct it, subject to certain exceptions. You may also ask us to correct information about you that you may believe is inaccurate, incomplete or out of date. If you wish to access or correct your personal information, please email us.
We will not charge any fee for your access or correction request.
In order to protect your personal information, we may require identification from you before releasing the requested information or correcting your information.
In certain circumstances, we may refuse, or be unable, to correct or provide you with access to your personal information. In these circumstances, we will write to you to explain the reasons why this is the case.
Complaints
If you have a complaint related to how we have managed your personal information, please email us. We may ask you to place your concerns in writing so that its compliance staff can fully understand and investigate your complaint.
We will provide you with an estimated response timeframe in relation to your complaint. In any event, we will endeavour to respond to your complaint within 30 days.
If a complaint remains unresolved, you may contact the OAIC at www.oaic.gov.au to have the complaint heard and determined.
Policy Updates
This Privacy Policy is subject to change at any time so we encourage you to review this Privacy Policy at regular intervals. If we change this Privacy Policy an updated version will be posted on our website (cccolab.org.au) and we will notify you of any important changes. By continuing to use our services after that time you will be deemed to have accepted any changes to its Privacy Policy.
